Law Enforcement Protocols
1. Operator and official contact
VIDA Colombia is operated by VIDA NETWORK LTD, a UK company. Police and other authorised agencies should send requests concerning the service to [email protected], using an official agency email address and the subject ‘Law enforcement request’. Requests may be submitted in English or Spanish.
This contact channel does not waive any formal service requirements or establish that a request is legally binding. VIDA is not an emergency-response service and does not promise continuous monitoring or an immediate response. People in immediate danger should contact local emergency services without waiting for VIDA.
2. Information and legal process required
Requests should be addressed to VIDA NETWORK LTD and include:
- The agency’s name, country, address and jurisdiction; the officer’s name, role, official email and independently verifiable telephone number.
- A case/reference number, the purpose of the investigation and the legal authority relied on.
- Specific VIDA account identifiers, such as a username, profile URL or known account email; do not request passwords.
- The precise records sought, relevant dates and time zone, why the records are necessary and proportionate, and any legally applicable deadline.
- A complete copy of the applicable court order, warrant or other valid legal process, including the issuing authority, date and signature or verifiable electronic authorisation. Where disclosure is requested without compulsory process, explain the applicable lawful basis and supporting facts.
- Any legally binding restriction on notifying the affected person, its legal basis and duration.
Do not send unnecessary personal information or copies of child sexual abuse material. Identify relevant accounts, URLs and circumstances instead; any necessary evidence transfer must be arranged lawfully and securely.
3. Verification and review
Before disclosing non-public information, VIDA verifies the requester’s identity and authority, using independently obtained official contact details where necessary, and assesses the validity, jurisdiction, scope and applicable legal basis of the request. An agency email address or an informal assertion of authority alone is insufficient.
VIDA may seek clarification, narrower scope, corrected legal process or legal advice, and decline or challenge requests that lack a lawful basis or exceed lawful authority. A request does not automatically entitle an agency to account information.
4. Personal information and private messages
Personal information, private messages and safety reports are not made available to authorities simply on demand. Any disclosure must be required or permitted by applicable law, necessary and proportionate, with any additional safeguards required for sensitive or criminal-offence information and international transfers.
VIDA limits disclosure to relevant information it actually holds and may lawfully disclose, protects information about unrelated people, and uses a secure transfer method with a verified recipient. These protocols do not provide direct access to member accounts or systems, create new surveillance powers, or guarantee that particular records are available.
5. Preservation requests
Send preservation requests to the same email address with the subject ‘Data preservation request’. Include the agency and account details above, the records and date range to preserve, the applicable legal basis, the requested preservation period and any intended follow-up legal process.
VIDA assesses and complies with valid preservation obligations under applicable law. Where lawful, relevant existing records may be retained pending valid legal process. Preservation is separate from disclosure and does not itself authorise release of information. Do not assume preservation has occurred unless VIDA confirms it.
Preservation is limited to information within VIDA’s possession or control; it cannot guarantee recovery of data already deleted or records never collected. The scope and duration of any hold, extensions and eventual release are governed by applicable legal requirements and documented necessity, rather than indefinite retention by default.
6. Urgent threats, child safety and serious crime
For a credible imminent threat to life or serious physical harm, agencies should use the subject ‘EMERGENCY — threat to life or serious harm’ and explain the threat, people at risk, relevant locations and account identifiers, why delay is dangerous, the specific information needed and the legal basis for urgent disclosure. Include an official callback number.
VIDA assesses urgent requests and may preserve or disclose information where the applicable law permits or requires it, with verification and safeguards appropriate to the circumstances. An emergency label does not remove legal requirements, and this email channel is not a substitute for emergency services or a guaranteed immediate response.
VIDA cooperates lawfully concerning child sexual exploitation or abuse, trafficking and other serious crime, including preservation and reports to competent authorities when legally required. These protocols do not represent that VIDA operates an automatic reporting system or a dedicated 24-hour law-enforcement team.
7. Requests from foreign authorities
VIDA considers the obligations applicable to its UK operator and to its Colombian service. An order issued in another country is not automatically enforceable against VIDA NETWORK LTD and does not by itself authorise an international transfer of personal information.
Depending on the request, recognised judicial assistance or other applicable international cooperation procedures, a competent domestic authority or additional legal safeguards may be required. VIDA assesses the relevant jurisdiction and data-protection requirements before responding; urgent requests remain subject to applicable law.
8. Disclosure records and accountability
VIDA records the request, verification steps, legal basis, decision, scope of any preservation or disclosure and recipient, as appropriate to the matter. Access is restricted to authorised personnel and records are retained only as necessary for applicable legal obligations, accountability, safety or legal claims, under the Privacy & Data Policy.
VIDA considers notifying affected people where lawful and appropriate, taking account of binding non-disclosure requirements, risks to people and lawful investigations. Receipt of a request does not guarantee disclosure or a particular outcome. Follow-up enquiries should quote the original case reference and use [email protected].
